How do I find equipment and asset information?

Steps to locate hospital equipment using Search and Filter on the portal's Map and My Site.

Search and Filter provide methods to narrow down the display of hospital assets so that you can more quickly locate the exact asset(s) that you need. You can use both of these features on the Map and My Lot. Searches and filters apply to both locations when you apply to one. 

Map Search

Use the Search option to quickly look up information about an asset, such as the asset tag ID, manufacturer model, asset ID. Look up and locate any tagged asset within the facility using the search feature from the Map's menu bar. Search by any asset attribute (asset ID, description, asset type, etc.). Search by a single asset ID or multiple asset IDs. 

Map Search Asset IDThe system filters assets real-time as data is input. As such, a dynamic drop-down list will appear, changing to meet the criteria as it is input into the search field. Click a specific asset from the list to refresh the map with the single asset icon showing.

 

Select More Details carat to the right of the asset number for more information about that particular device. Select Less Details to collapse the information.

Select the X in the Search field to clear the search filters. The map will refresh to the original map and asset cluster layer from which the search was initiated.

My Site Search

Look up and locate any asset within the facility using the search feature located in the Assets menu. Searching supports a wide array of attributes so that you can find the assets for which you are searching. The search function here operates the same way as on the Map page.

An attribute is any descriptor of an asset (hospital equipment). Attributes can be unique to a singular asset (serial number) or apply to many assets (e.g., manufacturer or asset type). The more attributes (descriptors) within asset details, the more accurate the reporting.

Search by any asset attribute (asset ID, description, asset type, etc.). Search by a single asset ID or multiple asset IDs using the copy + paste option. The Search field allows letters and numbers. As values are entered into the Search field, the asset list auto-refreshes to display all assets that have attributes meeting the search criteria. Matching criteria is highlighted within the Asset Description column. 

My Site Assets Search

Use the more... link to expand the asset details information.

To clear the search filters, select the X in the Search field or in the Selected filters field. You can also select the Clear Filters option next to Selected Filters. The list will refresh to all assets. The map mirrors the searched data displayed on this page unless or until the search is cleared.

Map Filter

Open the Map and look for the Filters option on the top left of the map page. Use the carat to: (1) Choose a saved filter from the list, (2) Create a new filter from the drop-down list; or click the Filters button to open the New Filter dialog box.

If the desired filter is already on the list, select it to run and display the results on the map. Otherwise, click the Filter button or Create a new filter from the drop-down list. More information on creating and saving filters can be found in other healthcare articles.  

Filters applied to the map cross over to My Site Assets so view that page for a single list of all assets meeting the search criteria.

My Site Filter

Compared to Search, which is better for locating individual or smaller groups of assets, filter is good for navigating through larger groups of assets that share a common trait. The two features can be used together.

Open the My Site Assets page and select the Filters button from the top left to launch the Filter settings window. Alternatively, select the Filters carat to open the Filters drop-down list and click Create a new filter from the top. If the desired filter is already listed, select the filter to run and display assets meeting the filter criteria.

Filters listed with a folder icon represent application wide filters (available for all users). Otherwise, the filter is only for the logged in user. If the desired filter is already on the list, select it to run and display the results on the map. Otherwise, click the Filter button or Create a new filter from the drop-down list. More information on creating and saving filters can be found in other healthcare articles.  

Once filter is run, the My Site Assets page shows only the assets that meet the filter criteria. Filters applied to My Site cross over to the map view until cleared from either portal page.
