How do I find a vehicle using the portal?

Learn how to find vehicles using the Search & Filter function within the Trailer & Yard Management portal.

Look up and locate any vehicle located within the facility using the search feature located in the Map’s menu bar. Search by any vehicle attribute (vehicle ID, description, vehicle type, year, color, etc.). Search by a single vehicle ID or multiple vehicle IDs. The Paste IDs option in the Search field is a standard paste function for copying multiple IDs simultaneously. This function can be performed through a spreadsheet or by downloading to a CSV file from My Lot.

When searching with multiple vehicle IDs, the search return will initiate the save filter ability. (Not available for single vehicle searches.) If you’d like to save the search for future use, select Save Filter next to the Search field. Name and save. Saved filters are available only for the user who creates them. Otherwise, use Clear Filters to refresh the map.

When inputting data into the Search field, the system searches on all values (alphanumeric) that are found within vehicle details and use real-time filtering as information is input to the Search field. As such, a dynamic drop-down list will appear displaying the matching search criteria with a yellow highlight.

Highlight the appropriate vehicle from the list. Once a vehicle is selected, the Search field populates with the Vehicle ID and the map refreshes with the single vehicle icon. To clear the search filters, select the X in the Search field. The map will refresh.

Locating Vehicles via Filter

Filters provide another mechanism for locating vehicles within the facility. Different than the Search function, filters can always be saved for future access to vehicle location information quickly and easily.

The items listed in the Filters (far left) and Filter Values (middle) columns come from the vehicle attributes that were defined when the vehicles were set up in the RTLS.

Because each organization is unique in its set-up and inventory processes, the filter value options shown in this article may be different from your system.

Begin to select the criteria for the filter. You may have multiple selections within the Filter and Filter Value columns. As selections are made, the Selected Filters (far right) column displays the selections.

At any time during the selection process, a filter may be removed by selecting the X next to the value in the Selected Filters column. Use the Clear All option to remove all filters that have been selected.

Once filter criteria are defined, select Apply to filter the map view with just the vehicles or vehicle clusters that meet the filter criteria.

Only the Standard and Administrative user roles have the Save Filter feature. Those with the View or Guest user roles do not have this functionality. Refer to the "User Roles" article on user roles. Click Save Filter to save the filter for future use. In the Save Filter pop-up window input a name for the filter and select Save.

To remove a filter, open the Filters drop-down. Highlight the filter to delete and select the trash can icon next to the filter name.

A small pop-up window will confirm that the filter was deleted. Once the filter is removed it will no longer appear in the filter drop-down list in the Map and My Lot Vehicles page views.

As noted throughout this article, filtering is available from both Map and My Lot and is saved across both pages. From My Lot, select the Filter button from the Vehicles page menu or select the Create New filter option from the Filter drop-down list.
